Job Description:

Provides advanced secretarial, administrative, and business management support to an assigned executive under general supervision. Composes correspondence and reports, often independently. Coordinates seminars, conferences, and meetings for the executive. Assists with the preparation of presentations and other materials for executive meetings, board meetings, and outside conferences. Assists with interactions with board members, written correspondence, and maintenance of minute books with board actions. Monitors e-mail and manages the daily calendar. Schedules meetings and resolves meeting conflicts. Orders office supplies. Maintains and updates phone lists and distribution lists. Plans and schedules travel arrangements. Plans and organizes special events. Creates spreadsheets, overheads, and flowchart presentations. Faxes, files, makes photocopies, and distributes mail. Processes expense reports. Monitors and retrieves voice-mail. Attends meetings as required and takes notes and dictation. Submits travel and purchase order requests. Meets and greets customers, vendors, and VIP's. Refers or personally attends to visitors, inquiries, and actions that do not require the executive's attention. Collaborates with finance to process accounts receivables.
