Job Description:

Coordinates with clients or organization and develops plans for conferences, estimates costs, reserves desired facilities, works with catering manager to plan for food and entertainment, assists with group travel arrangements, and/or collaborates with client and/or assists in preparation of information packets for conference attendees. Handles all of the logistical aspects of events, from small meetings to large conferences. Manages communications and tracks and creates correspondence. Retrieves bios from speakers. Produces and publishes the conference proceedings. Requires accuracy, project management skills, and a talent for communicating with high-level business executives. Holds initial meeting with client or organization to gather general information about size of conference, projected length of conference, and the types of facilities desired. Selects dates when the desired accommodations are available and reserves space for conference, including auditorium, exhibit space, meeting rooms, dining facilities, hospitality suites, and desired number of reserved rooms. Develops proposal showing the cost of facilities selected and prepares contract for client's signature. Discusses details of information packets to be sent to registrants. Coordinates portion of the packet being prepared by conference center and information to be supplied by the host organization. Collaborates with catering manager to develop menus for all meals and entertainment events to be held at the conference. Suggests possible excursions and sightseeing opportunities to be offered in conjunction with the conference. Assists host organization to arrange for group transportation or other auxiliary services that may be required. Accepts room reservations according to agreement with host organization. Assists with event to provide services or solve problems that may occur during conference. Assists the speakers with any needs. Maintains conference budgets. Provides financial reports based on revenue from sponsorships, registrations, and exhibitor fees. Tracks and provides reporting on payments, discounted registrations, and special promotions.
